📋 Process Incoming Orders

Manage customer orders quickly and efficiently. This guide shows you how to track, update, and complete orders from your pharmacy.

🖥️ Where to Find Orders

After logging into your Pharmacist Dashboard:
  1. Look at the left sidebar or bottom navigation bar
  2. Tap on “Orders” or “Order Management”
  3. You will see a list of all customer orders

📊 Understanding Order Status

Orders move through these stages:

🆕 View New Orders

When a customer places an order:
  1. You will see a red badge on the Orders icon
  2. Tap “Orders” to view the list
  3. New orders appear at the top with “Pending” status

What each order shows:


✅ Confirm an Order

  1. Tap “View Details” on the order
  2. Review the customer’s items and delivery address
  3. Check your inventory to ensure all items are in stock
  4. Tap the “Confirm Order” button
  5. Status changes from ⏳ Pending → ✅ Confirmed
💡 Pro Tip: Confirm orders within 30 minutes for best customer satisfaction.

📝 Update Order Status

As you fulfill the order, keep the customer informed:

Step 1: Prepare Items

  • Collect all medicines from your inventory
  • Double-check quantities and expiry dates
  • Pack securely

Step 2: Mark as “Ready for Pickup” or “Shipped”

Delivery partnerTap “Mark as Shipped” → enter tracking number (if available)

Step 3: Complete the Order

  • After customer receives items, tap “Mark as Delivered”
  • Order moves to completed history

❌ Decline or Cancel an Order

Only decline if you cannot fulfill the order: Valid reasons:
  • Medicine out of stock
  • Customer requested cancellation
  • Payment verification failed
How to decline:
  1. Open order details
  2. Tap “Decline Order” or “Cancel”
  3. Select a reason from the dropdown
  4. Add a short note for the customer (optional)
  5. Tap “Confirm Cancellation”
⚠️ The customer will be notified immediately and refunded if payment was made.

🔍 Search & Filter Orders

Use the search bar and filters to find specific orders:

Search by:
  • Order number (e.g., #ORD-1234)
  • Customer name

At the top of your Orders screen, you will see:

⚠️ Troubleshooting

ProblemWhat to do
Order not showing upRefresh the page (pull down to reload)
Can’t confirm orderCheck if items are in stock

💬 Communicate with Customers

Use the Chat feature to:
  • Confirm order details
  • Share payment instructions
  • Update delivery status
  • Resolve issues
How to chat:
  1. Open order details
  2. Tap “Message Customer” (speech bubble icon)
  3. Type your message
  4. Tap send

✅ Order Completion Checklist

Before marking an order as Delivered, confirm:
  • All items picked and packed
  • Quantities match the order
  • Expiry dates are valid (at least 3 months remaining)
  • Payment received (if cash on delivery, payment collected)
  • Customer confirmed receipt
